How do I share my account with others on my team?

In addition to being able to share individual projects with collaborators, you can also invite collaborators to share administrative privileges on your account. This follows the same invitation-based workflow as sharing individual projects, so if you’ve done that before much of this will feel familiar.

Admin Invitation

To get started, log in and then click on your avatar in the top right corner (next to the main navigation) and click on the “Account” button. This will take you to your account details page where you can see your subscription status, current account team members sharing your subscription, pending invitations, and a list of others accounts that you are a part of.

To invite someone as an admin on your account, click on the “Add an Admin” button in the “My Account Team” section.

This will take you to the Account Team – Add Admin page where you will enter the email address of who you wish to invite. If you’re adding someone who already has a Be Inclusive account, it’s best to use the email address they used to create their account. When you’re done, click Invite Admin to submit the invitation via email to that person.

Once complete, you’ll be returned to the Project Team page and should notice the “Pending Invitations” section will have a line item that shows an email address and date invited,

Accepting the Invitation

Switching to the perspective of the team member that that was invited, you’ll get an email with the subject “Invitation to Be Inclusive Account” notifying you that you’ve been invited to be an admin. Check your spam folder if you don’t see it in your inbox. If you haven’t created an account yet, clicking the link in that email will direct you to start an account. You can choose to create a free account since another team member has already purchased a subscription and will be sharing theirs with you.

If you do already have an account and are logged into it, that emailed link will take you to the Accept Invitation page with links to either accept or ignore the invitation.

If the email address used to invite you is the same as the one associated with your account, you can also see there are pending invitations at the top of your dashboard. Clicking on the pending invitation button in that notice will take you to the Pending Invitations page, this will list all account admin (and project) invitations associated with your logged in accounts associated email address that you haven’t yet accepted or ignored. Clicking on any pending invitations will take you to the Accept Invitation page as noted above.

Once you accept an invitation, you’ll be redirected back to the invitations page so you can address any other invitations you have pending. Going to your dashboard, you’ll now see a new section below My Projects with a list of all projects on the subscription owners account. In the screenshot below it’s the section labeled “Projects owned by Steven Woodson

From here you can start creating and managing existing projects and audits for that account – including inviting editors to the team for individual projects (See How do I share a project with others so we can collaborate? for specifics on sharing projects).

Projects owned by another account will show in a separate section from your own projects in your logged in dashboard. This account has one project labeled "Be Inclusive" with three audits associated with it, and a button to create more projects for that account.

Account Team Status

Back to the admin perspective, once invited users have accepted their invitations you’ll see their pending invitation is removed from the “Pending Invitations” list and a new admin is listed in the My Account Team section on your Accounts page. This is also where you can remove admins from your account if you choose to do so.

All set, now you’ll be able to collaborate together on all projects and associated audits for the shared account!
